I am interested in applying for a grant.
We advise you to visit the specific pages on the respective grants you are intersted in. There you will find more information and in case there is an open call you will find it there.

There are some requirements that need to be taken into account before applying for a grant:
• You need to be member of the TraFaDy network;
• You need to be a PhD candidate or be engaged in a research programme as a postdoctoral fellow or be employed by an institution of a COST Country that has signed the MoU of the Action;
• for a Short Term Scientific Mission grant only: the duration of your exchange visit needs to be 3 consecutive days (travel days not included)
• for an Inclusive Target Countries grant only: you need to be affiliated to a legal entity in an Inclusiveness Target Country / Near Neighbor Country. You will find the list of countries here: https://www.cost.eu/about/strategy/excellence-and-inclusiveness/
Applications need to be made through the e-COST system: https://e-services.cost.eu/activity/grants All communication with the applicants will also pass through the e-COST system.
When you create a grant application in the e-COST system , you will be asked to provide details on the visit you are planning to make. In addition to that you need to fill in an application form and additional documents.
Dissemination grant
– Copy of the abstract of the accepted oral presentation focused on promoting the scientific achievements and activities being performed by the COST Action;
– Acceptance (or invitation) letter from the conference organizers;
– Estimated budget to be spent for travel (maximum of € 600) , lodging and per diem expenses (max of €160/day).
Inclusive Target Country Grant:
– Copy of the abstract of the accepted oral presentation focused on promoting the scientific achievements and activities being performed by the COST Action;
-Acceptance (or invitation) letter from the conference organizers;
– Estimated budget to be spent for travel (maximum of € 600) , lodging and per diem expenses (max of €160/day).
Short Term Scientific Mission Grant
– A support letter of a co-leader or leader of one of the 6 working groups within COST CA21143;
– A written agreement of the host institution;
– A letter of support from the home institution;
– CV (2 pages), including a list of publications.
Young Researcher and Innovator Grant
– Copy of the abstract of the accepted oral or poster presentation focused on promoting the scientific achievements and activities being performed by the COST Action;
– Acceptance (or invitation) letter from the conference organizers;
– Estimated budget to be spent for travel (maximum of € 600) , lodging and per diem expenses (max of €160/day).
In each call we publish an approximate date on which we will announce the results. Close to that date the status of your application in the e-COST system will be changed from submitted to approved or rejected;
If your application is rejected, you will receive an email explaining the reasons for rejection.
If your application is accepted, you will receive an email with the grant letter. It is possible that, after evaluation of the budget plan, your application is accepted but the requested budget is adapted. The exact information can be found through the e-COST system.
I have been selected for a grant
If your application is accepted, you will receive an email with the grant letter. It is possible that, after evaluation of the budget plan, your application is accepted but the requested budget is adapted. The exact information can be found through the e-COST system.
As soon as the grant letter has been created in the e-COST system, you will know the budget that is at your disposal. You can start make reservations within the range of this budget. The grant does not necessarily cover all expenses.
The grant will be paid after the exchange visit or conference has taken place and, after you have submitted the report and supporting documents and after they have been accepted.
For a Short Term Scientific Mission grant only: if you have an affiliation in an institution in an Inclusiveness Target Country (ITC) country (https://www.cost.eu/about/strategy/excellence-and-inclusiveness), you can request a pre-payment of 50% of grant. This is payable under two conditions:
• the Grant Holder has funds to cover 50% of the grant in advance;
• host confirms to the Grant Holder that the mission has started. The transfer of the 50% of the Grant can only take place after the mission has started. Therefore, requesting a pre-payment is more effective for STSMs longer than 1 month.
When creating an account in the e-COST system, you will be asked to fill in a bank account number. It is this bank account number that will be used to transfer the grant to.
You are expected to submit a report and supporting documents in order to receive the grant. You do not need to account for specific expenses you have made. Therefore you do not need to keep tickets.
There are brand guidelines for dissemination activities funded by COST. The COST logo, EU Emblem, acknowledgment, and boilerplate are required in the final slide of your presentation. TraFaDy has developed a powerpoint template that meets these standards and that we encourage to use.

• Purpose of the exchange visit / conference visit;
• Description of the work carried out during the exchange visit / conference;
• Description of the main results obtained;
• Future collaboration with the host institution (if applicable);
• Foreseen publications / articles resulting from the exchange visit / conference;
• Confirmation by the host institution of the successful execution of the exchange visit / conference.
In addition to that you will need to upload supporting documents:
• The certificate of attendance;
• The programme of the conference or book of abstracts / proceedings indicating your presentation (oral or poster);
• Copy of the given presentation (oral or poster) and other material available for the use in TraFaDy working groups;
• A 200 words (publishable) text and picture(s) for the TraFaDy newsletters and social media.
Please submit a short scientific report within 30 days after the end date of your mission. You will find the template here: https://www.cost.eu/STSM_Report. The report must contain at least:
– Purpose of the exchange visit / conference visit;
– Description of the work carried out during the exchange visit / conference;
– Description of the main results obtained;
– Future collaboration with the host institution (if applicable);
– Foreseen publications / articles resulting from the exchange visit / conference;
– Confirmation by the host institution of the successful execution of the exchange visit / conference.
Additionally please hand in
-a 200 words (publishable) text and picture (s) for the TraFaDy newsletters and social media;
-presentations and other material available for the use in TraFaDy working groups.
Please submit a short scientific report within 30 days after the end date of your exchange visit / conference. You will find the template here: report template. The report must contain at least:
• Purpose of the exchange visit / conference visit;
• Description of the work carried out during the exchange visit / conference;
• Description of the main results obtained;
• Future collaboration with the host institution (if applicable);
• Foreseen publications / articles resulting from the exchange visit / conference;
• Confirmation by the host institution of the successful execution of the exchange visit / conference.
In addition to that you will need to upload supporting documents:

Please submit a short scientific report to the host institution (for information) and to the Grant Awarding Coordinator (by uploading it in e-COST) within 30 days after the end date of the YRIG and in any case on 15th of October 2025 at the latest. The report must contain the following information:
– Purpose of the YRIC;
– Description of the work carried out during the YRIC;
– Description of the main results obtained;
– Future collaboration with the host institution (if applicable);
– Foreseen publications / articles resulting from the YRIC (if applicable);
– Confirmation by the host institution of the successful execution of the YRIC;
– Other comments (if any).
Other required reports/documentation are:
– The certificate of attendance;
– The programme of the conference or book of abstracts / proceedings indicating the presentation (oral or poster) of the grantee;
– Copy of the given presentation (oral or poster) and other material available for the use in TraFaDy working groups
– A 200 words (publishable) text for the TraFaDy newsletters and social media
All requested documents must be uploaded in e-COST. Please note that failure to submit the scientific report and annexes on time will effectively cancel the grant. The Grant Awarding Coordinator will manage the evaluation process and inform the Grant Holder about the acceptance of the report. Afterwards, the Grant Holder will execute the payment of the fixed grant directly to the grantee or to home institution as stated in the application form.
